Faculty members are required to provide at least four weeks of notice to their supervisor and to coordinate their separation date with the end of a semester. The supervisor will submit an Employee Personnel Action Form (EPAF) to process the separation.
Please note that all property issued to the employee during the course of employment must be returned to the immediate supervisor at the time of separation, including all equipment, books and tools. The supervisor will immediately notify Payroll of any property not returned. The value of any unreturned items will be deducted from the final paycheck. ID badges and keys must be returned to the immediate supervisor at the time of separation. A re-keying charge may be deducted from the final paycheck if a key or ID badge is not returned at the time of separation.
- Employee resignations and retirements are submitted using an the Electronic Personnel Action Form (EPAF). A letter of resignation should accompany the form. Your department's admin support specialist can help with this step.
- When a resignation EPAF is received at HR, the HR Partner will contact the departing employee to coordinate the completion of an Exit Interview. The Exit Interview is designed to obtain feedback from exiting employees regarding working conditions, supervision, training, promotion opportunities, and benefits. Information gathered during the Exit Interview may be used to provide coaching and feedback to improve working conditions for all Alamo Colleges Employees.
- The HR Partner will notify Payroll, IT, and DPS of the departure to ensure all relevant access is terminated. A Benefits Coordinator will send out benefits information or a schedule a retirement interview as needed.
- It is the Supervisor’s responsibility to gather any keys or District-issued equipment prior to the employee’s departure.
